We use the fax feature directly through Outlook, the issue is that the main number showing is not our main number due to our onsite phone system. We are not interested on moving the service right now however we do not want people to see the main number on the fax cover sheet. Is there a way to omit this or change the phone number to a number of our choosing?
The only way we found to do this was to turn off the cover sheet option "Omit cover page when email subject is blank" and send our own cover page. This does require the subject field to be blank.
So that our users don't make a mistake and enter a subject (resulting in 2 cover pages with different numbers) we use 2 different custom setups:
1) outlook/email to our own special fax email address (eg. fax@our-domain) with a subject of the phone number being faxed, and a body of the cover page message. We setup an automated script on a server that picks up these emails, creates a custom cover page, appends the fax contents, then emails it to RingCentral in the proper format (ie.
email@example.com, no subject, no body, pdf attachment)
2) web-fax-form, we have setup a web form that our users can fill out that has all the standard cover page fields and allows them to upload the fax content attachment - when the form is submitted it creates a custom cover page, attaches the fax content and emails it to RingCentral in the proper format.
For both of these options we have setup a custom email address that we only accept faxes from so that users cannot bypass and send direct to
