Best practices for setting up Polycom Conference Devices

How are the rest of you handling phones not tied to an individual, but tied to a resource/room? Specifically our new office will have 3+ conference rooms that can be reserved by employees. I plan to install Polycom IP 5000s in each. In the past when we had just 1 conference room, I created a dummy email account (Conference1@) to tie the RC user to that device. Now that I we have a larger office, this approach feels really cumbersome and not scalable. Ideally each phone could be managed using a single user account (like an RC admin), as well as each phone having it's own direct line for individual inbound calls.

If it matters, my organization typically uses the individual conference ID's assigned to each employee who also has their own RC account. So if an employee schedules a conference call and wants to use the shared room+phone, they'll still use their own personal conference ID.

I'm not necessarily looking for a way to reduce the # of RC paid subscriptions, simply a better way to manage these types of phone devices.

USA-based acct | 2287 Users | 3800 DID lines | 28 sites | all Polycom VVX500 phone handsets

We have 28 different sites, each with its own dedicated Polycom IP 7000 Soundpoint Conference phone. 

Each Cofnerence Phone has its own DID and using the new onboarding/provisioning capabilities released last month in the Admin Service Web, you can provision them with all the same email address.

Just choose to do it via the Provisioned By Admin, button and uncheck "needs a unique email ID" box on that onboarding screen in the Service Web.

Thank you Cecil! I don't think I noticed the new functionality to not require unique email IDs. That's certainly an approach I will try. The support case I submitted earlier recommended that I look into Shared Lines, but it didn't feel like the right solution. I appreciate the recommendation.

Shared lines will not do it for you. We have been using the method I outlined since it became an option to do it that way with great results.
