Speed Dial: Company wide directory for Speed Dial

Our company has several dozen contacts that everyone in the office uses.
We don't want to have to WASTE TIME programing each phone with the names and numbers.
We want to create a Single, Company Wide, Shared, Directory of Speed Dial numbers and names.
if a number needs editing, or we want to add a number, or delete a number, we only have to do it once !!!

Hey guys until RC releases a specific shared speed dial list we could accomplish this task by using existing extensions.

Remember RC will give you 999 extensions per office account. We could program these as speed dials and everyone has access to them

It is not perfect but with the bulk load utility we could accomplish this quite easily.

We just need to avoid Extension numbers 0 and 800 - 850 as these are used for the call park feature

Tried the extension for a speed dial alternative and it doesn't work well because of the forwarding prompt that gets played to the user before taking the caller "Bob Smith, you have a caller, do you want to take it"?  We need true speed dials!

Almost a full year and still No Progress!
Shared Speed Dial is a Basic feature for Business phone systems.
This Needs to be a PRIORITY of RC!

Guys, I setup speed dials all the time,  Since there is not a specific speed dial extension there are some features that need to be turned off for it to work correctly.  Like the intro greeting, voice mail, the forward to smart phone, hold music.  ETC.  I know that a speed dial specific extension is on the road map but not released yet.  It is possible

I have many customers doing this type of thing

Hello.

I am looking for a way to set up a "Directory" that can be accessed from everyone's RingCentral desk phone.  The numbers included will only be the users that are set up in our RingCentral account - all we will need to view is the user's name and extension, and of course, the option to call directly.  This will also need to update as changes are made in our system.

Currently, I have to print a list that includes everyone's name and extension and tape onto desks.  As we grow (and also have two offices) this has become a challenge.  Is there a way to setup a universal directory that can be accessed by pressing the "Directories" button that appears on our Polycom phones?

Please tell me this is possible!

Additionally, is there a way to export a list of all of our current users rather than having to update manually in an excel spreadsheet?

We also agree that this should have been an integrated feature for businesses.  Having just started deploying RC to our facilities were disappointed that this was not part of it.

it would even be a big improvement if we could import the speed dial and/or contact directory entries.  example:  we could export from one and then import to other phones in that group as needed.

I just signed up with RC and can't believe that this isn't available yet!  It was on a open feature request TWO years ago and still "no definite plans".  This is a standard feature of office phones.  Ridiculous that RC doesn't see this as a priority.  Disappointed.

Yup,  I was shocked also to find this when joining. Now my employees are manually entering numbers for every supplier / customer. It's either that or LDAP and I don't want to go down that route to manually override the auto-provisioning desk phones. (Cisco SPA525G2)

RC gives 999 extensions.  The numbers could be setup as extensions and then assigned to presence buttons if you like or just dial by entering in the extension.

It would help to understand how you will use it and how you are doing it today with your existing phone system

They currently have an asterisk system that has a company wide speed dial. There are about 50 of them. Each assigned to extensions 201-299 (there are "empty slots"). 

They basically dial 201 and it calls the vendor from any phone. 

I did read about your explanation about assigning extensions to external numbers. But I also noted that there are several caveats that have to be set up for each number "Like the intro greeting, voice mail, the forward to smart phone, hold music.  ETC.". Is this done manually for each extension? or can it be done for multiple at a time.

Yes a few things to do but there are templates that could be configured to turn this stuff off or RC engineers have an upload utility.  I have leveraged them in the past.  We config a CSV file with the appropiate info and then they upload the extensions.

So totally possible,
Should not be a deal breaker.

so i can program a fake extension, that will actually make an outside call?
I can also access the directory of associated names from my desk phone, same as my Speed Dial?
Can you send me the CSV file format for the mass upload?

yes Sir.  For a mass upload, I have to work with reseller support.  They don't allow us to do that.

Are you a reseller or connected with one?

Templates help with turning the items off but if you have 50 - 100 speed dials I would use the upload.

could you contact support to get them to do a bulk but the time you would wait it could be done manually.

Avoid extension numbers 800 - 850 as they are reserved.

So use the 300 or 400 series for these.

ok, for transferring directly to VM, just put a *0 in front of the extension.

So to transfer to extension 200 voice mail you would just put *0 in front of the 200

It will go directly to the Voice mail then

We are a small company, but growing quickly, so this is something we would like to implement now. It doesn't seem like there is a solution, but I voted for this to be considered because it seems like this should be a standard. Please notify us as soon as this is an included feature.

Heather we have been asking for specific speed dial numbers but it just does not make the radar

I have a solution that I put in place for all my customers and that is to use some of the 1000 extensions RC gives you and just make them speed dials.  Then you could assign to phones using presence or just dial that extension and the phone will dial that number.  It works well and I have had no complaints

I've been using extensions just like Chuck is talking about. It's a little bit of a pain but does get the job done. A couple tips that I found is that you can create a "Speed Dial" template on the Users main screen and then apply that template to the users that will be used solely for speed dial purposes. You can also enter "Speed Dial" in the Department Field and that will make it easy to sort or select only speed dial extensions.

Jason, I'll try to answer both of your questions. Unless something has changed, adding additional extensions such as for speed dialing and forwarding do not incur additional fees. However, additional extensions that will use the Ringcentral system to make outgoing calls will. For instance, if you have 5 physical phones in the office only the phones that make outgoing calls will be charged an additional user fee. If you have a help desk with 10 phones and those phones only receive calls, they would not be charged for additional user fee.  Also, each phone number associated with your account will have an additional fee. I believe that additional phone numbers are around $4.99 per month while additional users that need to make outgoing calls can cost much more something like $40 - $70 per month, depending on the number of users and level of service agreement. Please note that I do not work for Ring Central so this information is just general from my experience and should not be considered a quote of any kind.
Now for speed dialing from the buttons on the phone. First, create a user extension that will be used to speed dial. Test it by dialing that extension and make sure that it is working correctly. I have previously posted some tips on speed dialing. Once that speed dial extension is working correctly you will need to go into the presence set up under each user phone that you want to add that speed dial extension to. The presence buttons also allow you to see if another physical extension is in use and can allow you to place a call on hold and pick it up at another phone that has been given permission to see that extension in the presence set up area.

I'm having a difficult time setting up extensions to dial commonly used external phone numbers. I've created an extension and, I believe, I need to create an Unconditional Forwarding rule in the Advanced section of Call Handling & Forwarding. Correct? It doesn't seem to be working for me. I have already setup a couple of extensions that my incoming callers can use to be forwarded to external numbers using the same method. But it doesn't work if I simply dial that extension from my RingCentral phone. What am I missing?

I had some issues with that as well. Try this: 
  1. Choose the user that you have set up as the speed dial.
  2. Now go to Call Handling and Forwarding
  3. At the very bottom there is a section called Incoming Call Information, click on that. This is where my problem was.
  4. Look in the bottom section where it says Direct Calls and make sure that Never is selected.
    Note: Selecting Never will give you a warning popup when you try to save but do it anyways. 

  5. If you don't have never selected, when someone tries to use that extension from a ring central phone/extension it will first require the number being called to answer and agree to accept the call. This is not a problem when the extension is selected by an outside caller.

Hi Ethan, you really do not need a rule just create an extension without a phone.  (Avoid 800 - 850) These are reserved for park locations.

Then turn off all features not needed like VM and hold music ETC.  A template could be used for this

then in call handling just put the phone number you want to call.  In the first and last name sections put the name for this speed dial like

Since this seems to be the way we need to create a speed dial system...
can RC simplify the process by having a check box [instead of a template] that will set all the "handling", "VM", other things to what they need to be.
This might actually work for everybody :)

Ok, that still isn't working. I get a RingCentral recording "I'm sorry, no one is available to take your call."

When I got setup with RC, the implementation specialist helped me setup an extension which my customers could press which would forward to an external number. We used the Unconditional Forwarding. It works for my customers but not for me when I press that extension.

We are a company with over 500 stores and with our current phones system or any other phone system in the world we have a company speed dial list. We are in the process of moving to RC but just found out they do not include this basic concept. Some of the stores are individually owned and not going to be with RC but we call them from corp quit a bit. The community has been asking for this for at least 5 years. this is a basic concept. I guess RC is not designed for an enterprise   company.
