Admin: Create New User without enabling

As our RingCentral system administrator, I prefer to fully configure new users before inviting the user to access RingCentral.  If creating a single user, I accomplish this by using my own email address on the "user info" tab of the new extension.  I then "Save & Enable" to get the confirmation email into my inbox, at which point I need to log out as administrator, log in as the user, and manually step through multiple steps to perform some basic configuration.  Once this is done, I need to log out of the user account, and log in again as the administrator to complete the configuration.

Although the single-user process is cumbersome enough, the real challenge occurs when enabling multiple extensions.  I'm currently faced with the prospect of adding 50 new users and the cumbersome, manual process outlined above is painful to consider.  It seems that enabling new users without having to leave the admin control area would be a significant time savings for larger organizations using RingCentral.

Thanks for considering this feature request!

This reply was created from a merged topic originally titled Admin: activate new users without the end user interaction.

as a Super Admin, I would prefer to be able to activate my end users without there interaction.  I have several outside sales reps, who just wont ever do it in a timely manner and are "Technologically" challenged at times.  It would just be easier if I could as Super admin activate and fully configure my end users from start to finish.

Technically you can. Use your email address when you set up their account so that the activation email comes to you. Then assign the account a password and PIN (something they might not forget like their wife's name + some numbers + maybe an exclamation point) and change the email address (after it's activated) to their email address. Continue setting up their account the way you feel it should be set up (call forwarding, etc.)

Tell them the password and PIN in a phone call or in a meeting (for security purposes) and also advise them of how they can change these two items should they desire to. If they are too technologically challenged, they won't change them. But the end result is that their account will be set up without them having to do anything.

This idea is tagged as  "implemented" but according to support there is still no real way to accomplish this.

Hello SMITH,

You can add a new user just as normal and then uncheck this box:

With that being unchecked the user will not receive the set up email. You can put the user's email address in the correct field but they won't receive an activation email until you decide to Resend the Welcome Email after you've made the appropriate changes. As an Admin you can go into this extension and make any changes you need before letting the User log into their account.

Does that help you?

I don't want to have the user have to activate anything. I just want them to sit down and then log in using SSO. Everything needs to be setup 100% before they sit down to work.

I see what you're referring to. Not sure why this was marked as implemented so I'm going to change it and merge your recent request to this thread in order to combine votes. Apologies for the confusion!

This reply was created from a merged topic originally titled Fully setup new users from admin console.

There really needs to be a way for an administrator to completely set up a user without the end user having to interact at all and without having to use temporary email addresses.

According to support, the only way to accomplish this is to:

1. Create the new user using a temporary email address that you have access to
2. Receive the email and then copy and paste into a new browser window (make sure you are in incognito so you don't log your self out of admin)
3. Go through user info setup and change the email address to the new user
4. Go through messages and notifications and change the email address to the new user

this is 50 clicks and 18 page/frame loads before I can just get a new user setup. There are times when I have to setup 10 users a day and the time it takes just to get them setup to answer the phone is maddening.

There is another topic idea regarding this request with the "implemented" tag, but if it has been implemented in some way, support isn't aware of it.

This needs to be more streamlined for admins to get users up and going without having to wait around for emails and walk the user though the process. Make it so the desktop app can be as easily activated and used by the admin as the desk phones. This is a pain when we have a user that has computer literacy problems and just needs to answer a phone.
