User Settings: Voicemail to text transcription (speech-to-text)

My previous service converted my voicemails to text in an email - does RC does this and if so how do I do that?

Sorry, adding here as can't see how to comment on the original post. We have just signed up for Ring Central and are shocked that this is not available as standard. With Vonage it is, and is very helpful. I understand that in the US it is available, but us in the UK are getting a worse service.... Please Ring Central get this functionality added.

Our former system sent a wave file of the voice message to the users email.  Is this a possible enhancement in the near future?

Tim if you go to your message list and just click on the name, it will expand, and give you the text version and the button to play the recording.

Thank you Mike for your reply; but what Vonage provide and what other people in this suggestion have requested is that when the voicemail file is emailed, the transcript is also emailed. This is very helpful when searching through emails, saving to back office systems, and when on the go (as you don't have to open the file to get the gist).
Yes yes yes! I am still evaluating RingCentral and other services (including GrassHopper and Vonage), and this is probably what will make the difference.

IMHO, this kind of approach is much too labor intensive and ungainly as well as ending up way expensive for any kind of realistic call volume. I would be looking for seamless integration with my RingCentral automated attendant at a much lower, preferably fixed rate. I really prefer software based translation for confidentiality, speed and accuracy, not to mention the ASP being able to deliver the service at a fraction of the cont on care and feeding of human translators. Current software technology matches or exceeds manual transcription in all areas.

Voice to text transcription is critical to me as I rely heavily on my outlook history for key word based research. Voice messages are useless for this purpose.

I just noticed that this feature is flagged as IMPLEMENTED. Should have read the whole post before replying. My bad, however this is a high priority, probably a deal breaking issue for me.
  • Is voice transcription available for both RingCentral and OfficeAtHand subscribers?
  • I currently subscribe to an office at hand standard plan. Is transcription available in standard and pro as well as the enterprise plan?
  • Can you clarify the per user cost of this service per plan?

I am curious to know what kind of solution would be best for your needs.

a) A lower cost / free automated system that can generally convey the gist or essence of a message (but with imperfect transcription) or

b) A premium human assisted but more accurate transcription service where every detail in the message counts.

How would a voicemail to text capability specifically help you ?

A) free automated w/ imperfections is all i need 

VM to TXT helps me because as with an email or text I can glance quickly at the message and determine where it fits into my business priorities for that day/time period.

This is very important to us. Had it with Vonage. Surprised to not find it here. Getting familiar with RingCentral. Our business is growing and it's helpful to have these options and features.

Option A, a low cost software generated translation if the entire message (not just the first x number of characters). Should include telco caller ID and name in header.

I really need Ring Central to add this feature. Its the missing piece to the puzzle before I can completely switch over our entire system.

I heard from support that Ring Central use to offer this feature but removed it because it was not meeting the standards. I would like to try this feature out if possible.

Why not just use a service that integrates seamlessly with RC and specializes in transcription rather than something RC bolts on but may not be committed to?

Our cell phone provider offers this service at no extra cost. Ring Central should do the same. After all we have invested hundreds and hundreds towards this new system.
Ring Central says it was a feature they offered, so why cant they bring it back!!
I dont care if it works some of the time, I just want to get rid of my current cell phone provider (only allows 25 msgs).

Google voice does it for free, too.  And since I have not yet seen where this is implemented on our RC enterprise software, I may just have to forward all my calls to Google Voice which will then ring my phone (almost recursive).  Seems roundabout, but the only way I can actually READ my voice messages.

Currently, I see no way to get my messages when the app pops up or when I'm on the web site.  I can listen, but since I have all sound turned off and no earphone jacks (don't want to disrupt the rest of the open office or tune people out by having my brain attached to audio, making me look like an iPod slacker).

So, without ability to listen on a computer, the only option is to do *86 and do it through the phone.  If that's the solution, then all the apps are worthless and need not be installed.  Not yet pleased.

Hi Dieter,
I would go for the automated transcription with imperfection, similar to what Google Voice does. It would be nice to get an idea of the call contents without having to be pulled away and checking. Know how critical it is based on source and the content that can be transcripted is something we're looking for.

It seems Nexiwave.com offers an automated Voicemail-to-text service. They offer you a virtual email address, which you can have you RC voicemail sent to. They then sent you the audio and transcript to your inbox. I tried a few messages and the results are very decent, not perfect, but definitely very decent.

Best of all, they offer a free tier. I guess nothing beats free;).

I have been using Nexiwave for four days now. I have to say it works GREAT. There are imperfections in the transcript, but like Ray said above, I can definitely get a good idea of the call content without getting pulled away. I love it.

I also want to promote the idea of this feature being added. There have been a few posts from a while back saying that the feature is coming, but it seems like nothing has happened yet.

We're switching over from another carrier and this is the one critical feature the old carrier had that RingCentral doesn't. For the moment we're going to use an external provider for this service, but it would be nice if it was integrated into RingCentral.

Ideally we'd have the option of either machine transcribed or human transcribed, though if I had to pick only one I'd go with the machine transcribed.

I have been using TalkScribe for approximately 4 years and I wouldn't go a day without it. It's fantastic not listening to voicemails and on the rare occasion I have needed help the service provider was prompt and super friendly.

Vonage had it and it was very helpfull in getting an idea of what the message was about.
Talkscribe is expensive.
I would love to help in the beta test.

This is has been implemented.  Click Messages > Voice and then click on the message. it will pop up a window with the text transcription.

How can I see if our company is "Enterprise" edition?  Surely it's somewhere in all these apps and web pages.  I suspect we would be, given that our entire company is switching over, but I do not see any text transcription when I click on a voice mail message.

Have you turned on the functionality under "Messages & Notifications" then "Voicemail Preview" under any given extension? It needs to be set for each extension you want this capability on. Additionally, and most important, it will transcribe the voicemail as it's being left. It is not retroactive. So if you have just turned it on, it will not transcribe already left voice mails.

Do we have any progress on this???  Would love to see this implemented as well as being able to simply listen to VM's without needing to download it on the computer...

As of 6/14/15 I have learned that voice transcription is included in all RingCentral plans but not in AT&T OfficeAtHand accounts. If there are no immediate plans to implement transcription in the AT&T offering, I need to switch my account from AT&T to RingCentral.

Voice transcription is only available on the Enterprise plan, which is the most expensive. Not available on all plans.

For non-enterprise plan users, there are free alternatives available, like Neixwave. It provides free software based voicemail transcription.

And enterprise grade (but not free) human based alternatives that can free you from ever having to listen to a voicemail message again like TalkScribe. Integration with either TalkScribe, Nexiwave and most others only require changing the email address in your RingCentral portal. Set it and forget it.

Can this feature be utilized for Call Recording too? We record all of our sales calls and a transcript would be very helpful to identify the important information without having to listen to a 15-20 minute conversation.

Don't get your hopes up for very understandable automated transcriptions of two-party calls. Single party automated voice recognition is bad enough but two-party is many multiples harder.

Thanks for the comment John and you are probably right, especially since there will likely be overlap of 2 people talking at the same time at different points in the conversation. I mainly want to collect the contact information from the calls so even a rough transcript could be helpful for that purpose.

Also, like, who is who? Still, the transcript may pick up key words and phrases. I would expect to edit (mostly cutting down superfluous stuff).

Chris, I agree with john and Felton. It will be difficult with machine transcription. You can try it with Nexiwave though. They offer machine transcription with unlimited length. I have a paid plan with them and occasionally transcribe very long multi-party conference calls (besides voicemails). The transcript is decent (we can still barely read and do some keyword searches.), but defintely don't expect like reading a book or anything. So it all dpends on your expectations...

Hi  David, unless you have a HIPAA enable account it should work. Follow the steps here:

Voicemail PreviewThe Voicemail Preview provides a text version of your voicemail that allows you to get the gist of the message. It is not intended to be a perfectly accurate transcription of the voicemail. It may take a few minutes to deliver the text version of your voicemail to your RingCentral mobile or desktop application or via e-mail. To enable this feature, follow the steps below: 
 
Step 1: In the Messages & Notifications screen, click on Voicemail Preview.

Click Save.

IMPORTANT: For HIPAA regulated accounts, automatic forwarding of messages through SMS and email attachments is not available. Messages for these accounts will also have a 30-day expiry. Users may still check their messages through their deskphones, RingCentral Desktop App or RingCentral Mobile App.

Thank you Mike, I had searched the knowledge base but couldn't find anything.  I'm curious why you are defaulting such an incredibly useful feature that so many people have wanted to off?  Privacy concerns I suppose? 

It almost takes what is a really exciting new feature and turns it into a downer to have to come out here to find out it exists, then not be able to find out how to turn it on, then have to wait for instructions here.

Sure I am spoiled ;), but that's not a very good way to deliver such an exciting new feature.  At a minimum you could create a pop-up in the web application asking users if they want to turn it on, so everyone knows about the feature and can easily enable it.

You're welcome David.  I understand your point about the default not being "on". That might be a good idea. As far as the pop-up idea, we release numerous updates approximately every two months or so, and there are generally several new features. I'm sure the software would become littered with pop-ups and messaging, so I'm sure our Product Team avoids that on purpose. Actually you already do it :).  In fact, maybe you did do it for the text feature and I dismissed since I just assumed it would be a new feature, and didn't realize I'd have to enable it.  Here is the pop-up I received 3 minutes ago when logging onto my account, notifying me of a new feature.

It's not that we don't ever do it, but, it is reserved for certain circumstances. The example you posted above is for a whole new service plan, not a specific product feature.

I am testing this new feature.  I'm not expecting anything close to perfection, but so far I'm not getting anything, even if I leave a simple multi-sentence message, when the email is sent to me it says "voicemail preview: unavailable".  Anyone else experiencing this?

EDIT: tried again and got a transcription.  BTW, it would appear that the automated transcriber has a thorough vocabulary because it translated one word as "f***ing" even when it wasn't.  Hilarious!  I'm not complaining!

What is the point of ADDING new features, if you aren't telling users what they are?
Or how to use them?
I get limiting pop-up etc, however, we should get an email stating something like;
Ring Central Ver.  2015-08-6 just released, you can view new features and fix list in the attached PDF, or go to www.xxxxx.com/xxxx
this is common with other program /apps I use.

I don't believe I am receiving those emails, that's the kind of thing I print and archive. as well as distribute to other users in our office.
I've never seen an update summary release.

Make sure you have all emails from the RingCentral domain whitelisted.  ie  anything that comes from @ringcentral.com 

The best source for viewing new releases is going to be the actual release notes from the link posted above.

I haven't been receiving any "News or Update" emails.
How do I get on the list?
As a paying customer, that receives my monthly statement by email, Shouldn't I automatically get this type of email too?
I don't have time to randomly go out and look for update news,
I should be getting these automatically.

Not all customers receive the same emails. Any emails that pertain specifically to your account, ie package or pricing changes, things of that nature will to got the email address on your account. There are other emails from other sources, ie, Marketing (general news & updates), this Community etc, that are separate lists and you may or may not be subscribed to them. Our Blog is also a good place to watch to stay on top of new releases. https://blog.ringcentral.com/

I think this feature should be offered with lower tier pricing plans or as an optional add on. It is a service that I really want, however it is annoying that I have to jump to a higher pricing plan just to get it.

Crazy that they have this feature but only available to the highest tiered plan.  This is free or included on just about everyone of their competitors.
