When an associate is away from their desk and their phone is ringing off the hook is there any way for an admin to remotely set their extension to DND? Or is there a setting to where if an extension isn't answered and the call is sent to VM that the extension is automatically set to DND?

Eric,

Your associate can turn their desk phone to DND if they will leave the desk, but in the case that they do not, you can login as the Administrator, go into >>call handling<< and turn their extension >>inactive<<. When they come back, you can turn it back on. This will send the calls to their voicemail. Of course, you would want to make sure that another phone takes calls.

The other option you have is that you can login as their extension and click on the little green circle icon at the top of the page and select the >>do not take any calls<<. When they come back, they can select the DND on their phone and turn it back on.

Thanks for helping out Ashlynn!!!!

Also, if the customer leaves at the same time everyday, you can also go into the the Call Handling & Forwarding > Advanced rules and set it up to go to voicemail, or forward during that time.  If it's more random, then I would do what Ashlynn suggested above.

Thanks!

Ashlynn, you seem to have a lot of great ideas about how to manage your users. I'm new to RingCentral and was wondering if you could explain to me your second option of logging into the user's extension and clicking on the little green circle at the top of the page. How exactly do I do that? I'm the Super Admin and I'm going a little crazy trying to figure out all of these little quirks, so please forgive me if my question seems a little rudimentary. I appreciate any help... thank you! :)

Hi Dawn!

Thank you! I have been learning little tips and tricks as we go along!

To enable DND via online portal, login to the user's extension. At the top right of the screen next to the extension name, number, Get Help, Logout, you will see a green circle wit a white "slash" through it. Click on this and select your option! It should also display on the phone that they are in DND. Let me know how it goes!

Thank you Ashlynn and Claudio!

As far as logging in to the the user's extension via the online portal, wouldn't I need their password to do so?

When I'm logged in to the online portal, I only have the option to change the DND for my own extension. Am I missing something?

Hi Dawn, you are not missing anything. You can only change it for the number you are logged in under.
