We’ve made some updates here! Take a look to make sure you are up to date on all things RingEX AI Assistant!

Can I edit my default AI audio prompt? The current one which states “Ai is taking notes” appears to be insufficient under California law.

If I can’t edit or add my own, is it possible for RingCentral to add a more encompassing message to select?

Great question! Let me ask our AI Assistant team how to address this.

@winecountryfamilylaw I’ve checked in with our AI Assistant team and legal - the notice provided meets required regulations BUT the option to customize your own notices is targeted for a January release! Stay tuned!
We’ll update the Community when the feature is available!

I’m so glad to hear we’ll have the option to customize the Ai notice soon.  You may want to pass this along to your AI team working on this---here’s what ChatGPT said about the current notice not meeting California regulations. (I’m not a consumer protection/privacy attorney, so this is not legal advice to you--just passing along this information for your team to consider and verify on their own).

The statement "AI is taking notes" may not fully satisfy California’s privacy laws, particularly the California Invasion of Privacy Act (CIPA) and the California Consumer Privacy Act (CCPA). Under California law, consent and transparency requirements are typically more detailed. Here’s how you can ensure compliance:

### 1. **Consent Requirement (CIPA)**
   - California’s **CIPA** requires that all parties in a conversation consent to being recorded. Because “AI is taking notes” could imply recording, it’s best to be explicit that the meeting is being recorded and processed by AI.
   - For compliance, the statement should explicitly mention recording and any intended use of the AI (e.g., for note-taking, transcription, summarization).

   **Example Compliant Language:**
   - “This meeting is being recorded, and AI technology will transcribe and take notes on the conversation. By staying in this meeting, you consent to the recording and AI processing.”

### 2. **Transparency Requirement (CCPA)**
   - The **CCPA** emphasizes transparency regarding data collection, usage, and sharing practices. If the AI note-taking involves collecting, storing, or processing personal information, participants should be informed about:
     - What data the AI will collect and process.
     - How the data will be used, stored, or shared.
     - Any rights participants have to control or access their information.

It’s good practice to link to a **privacy notice** that explains these details when possible.

### 3. **Best Practice: Full Disclosure**
   - To ensure compliance, provide a complete disclosure at the beginning of a meeting, and have participants acknowledge their consent.
   - If AI-generated notes are saved or shared with third parties, clarify this in your statement.

In short, the simple statement "AI is taking notes" is not sufficient on its own. To be legally compliant, a more detailed statement about recording, data usage, and consent acknowledgment is recommended to cover California’s privacy law requirements.
