Hello, How do I make all the phones in the office ring at the same time?

We have an office number then everyones phone has a personal extension. At the moment only my phone rings when people call. But if im not in the office the call doesnt get answered from my desk as it gets forwarded to my mobile. How do i make all the office phones ring at the same time so who ever is free can answer the call. Thanks

Alright, there are a couple of similar ways to do this, you're going to need to start by determining which phone numbers you want to ring to everyone. Whatever extensions those phone numbers are attached to need to have ring groups set up with all the other phones added to the ring group, then you set the call forwarding and handling to 'Simultaneous ring'

If possible I recommend creating a new user using the 'Users without Phones' option (which is free) and use that as a base for your ring group. If you do this you are going to want to move your phone numbers to your auto-receptionist with a rule to forward to this extension, assuming you want to use the number as a call-out number for any / all of the phones, if not then keep the phone numbers on the hollow extension.

Here is how we have it setup:

Auto-Receptionist has the phone number with a rule to forward (IVR > IVR Settings > Custom Answering Rules)

Phone number is forwarded to a ring-group user (no phone)

Ring group user forwards via ring groups to all the phones that are supposed to ring simultaneously

The phones have the phone number set as a call out number so when customers return calls it gets routed to everyone

*NOTE* I do want to point out that any SMS or fax messages will not be forwarded through the IVR call forwarding to your new group

*NOTE* Voicemails will end up going to your new ring group user, you will probably need to forward those elsewhere or give access to the voicemailbox to certain users.

Best way would be make an advanced rule under IVR settings which under auto receptionist to ring your extension then set call flow under your extension to include all your extensions. it would be easy to walk you through, so support should be able to help you out otherwise give it a shot yourself with the tips the couple of us have laid out.
