Please help me with questions from my Security Team:

1.) How long are the AI Notes retained? 

2.) Is there encryption? HTTPS

3.) Is any Meta Data Stored in the browser around the Notes?

4.) Can HR see the Notes without the user's permission?

5.) Where are the notes retained?

6.)   Do we have a white paper on the subject?

3.) Is any Meta Data Stored in the browser around the Notes? - No
4.) Can HR see the Notes without the user's permission? - No, only the user who generated notes can see the notes
5.) Where are the notes retained? - In AWS

@BeckyH where do I find these notes, on the desktop app, I only go back 60 days.

In the RingCentral app, you can find all your AI notes in a dedicated Notes tab. Here's how to access them:

  1. Open the RingCentral App: Launch the desktop, web, or mobile app.
  2. Go to the Phone Section: In the navigation bar (usually on the left side of the desktop/web app, or bottom on mobile), click or tap Phone.
  3. Select the Notes Tab: Within the Phone section, you'll see different tabs like "Keypad," "History," etc. Look for and click or tap the Notes tab.

This "Notes" tab will display a list of all your calls that have AI notes generated. From there, you can click on a specific call to view the full details, including:

  • The call summary
  • Itemized recap
  • Tasks or follow-up items
  • The full transcript of the call

    If you aren’t seeing beyond 60 days, it may be that the AI Notes functionality was not enabled or was disabled? However, if you don’t believe that to be the case, I would recommend reaching out to Support to see if they are able to help you in retrieving them. 

Something that was rolled out by RingCentral with no notice, no explanation and no consideration for customers legal obligations or procedures.

We had to create a template to disable the feature, but due to the number of new starters we could not figure a way of globally turning off this setting.

Our account manager arranged for the functionality to be turned off at the back end.

Not RingCentral’s finest hour, IMHO
