Welcome to another "Getting Started with RingCentral" series! In this installment, we'll focus on adjusting your multi-site's caller ID name, which allows you to display different caller ID names based on your business setup. Let's explore how you can customize your account's caller ID name to best suit your needs.

What is the Caller ID Name?

Your Caller ID name (CNAM) is the name displayed to recipients outside your organization. You can assign a caller ID name to your entire company, a specific site within your multi-site setup, or an individual phone number.

What problem does this solve for me?

  • Professional image: It shows the business name or number, making your business easily identifiable to your customers.
  • Avoid being marked as spam: It helps customers know they’re talking to a legitimate business, reducing the chances of being mistaken for spam.
  • Regulatory compliance: Ensures businesses meet legal requirements for showing correct caller info.
  • Avoiding confusion with other offices: Multi-site Caller ID Name helps distinguish between locations, ensuring that customers or clients know which office or department is reaching out.

How to set up your Multi-site Caller ID name

  1. Login to the Admin Portal.
  2. Click Phone System > Company Info.
  3. Click the site you want to edit.
  4. Click the Caller ID name tab.
  5. Update the name of your caller ID.
  6. Click Save.

Note: After changing your caller ID name, changes will take effect after 72 hours. Some carriers download data from the Line Information Database in real-time, while other carriers might download the updated data on a daily or monthly basis. To learn more, click here.

How can you assign or change a phone number to a Site in a Multi-Site setup?

I see no way to add a phone number, except in the creation of a new Site, it will allow you to pick a new number, but the only option you have after that is deleting that number and I cannot find how to add a number to point to a single site and be assigned to that site, so that the number for that site can be used for outbound caller id.

I have several sites built and working with 5 digit extensions, I thought I could just go and add a phone number to a site, but have come to realize, I cannot figure out how to do that.

Thanks

Hi @douglas.woodyard, I’d like to take a closer look at your phone system setup to assist you better. Could you please send me a DM with your account details? The main phone number will be great. Thanks so much!

I figured it out.

You have to start in the Telephone numbers, which people said and then I saw where you just click a button and assign that number to a Site, well it was not a button, it was off the screen to the right at the end of the phone number row under the 3 dots and then you select Assign To and then you enter the Site extension number, I never saw the “Assign To” under the 3 dots.

It seems strange to go through those steps, but at least now I am able to get my main numbers to each office Auto Receptionist.

Thanks

Glad to hear you got it figured out! And thanks for sharing how you did it—it’s always helpful to know what worked. 😊
