Good day. Not a customer yet, trying to get a good handle on things before we take the leap - we will only be using the fax services offered by RingCentral.


Currently, we have multiple fax lines to our Agency, each line going to a different department. With our current electronic fax system, a single person monitors the database/inbox for their department and when a fax arrives, they forward it by email to the proper recipient. We're hoping to mirror that system and flow as much as possible.


Ideally, what I would like to see happen is when a fax arrives for a specific number, that fax is forwarded via email to an account that is monitored by a staff member, who then forwards it along to the proper person. Each number would forward to a different email account, monitored by different staff. We need some level of security and separation, so none of these staff members would have access to the main database or application - all their access would be to the destination email accounts.


Have I got this scenario right, will it work the way I'm thinking [and hoping]?


yes it will,  each fax line in RC will have its own call handling and notification settings, so the fax-to-email can be setup for each one individually.   Since it is only an email that your staff would receive, you would have yourself or a designated admin person be the only ones that can login to RC and have access to any settings, including which emails are setup for which fax notifications.  You can also set a Txt message notification if you want your staff to get notices on their cell phones that a fax has arrived and then they will know to check their email.

Also, most email clients (Outlook, Thunderbird, etc.) will let you setup email rules - so you can easily setup email rules for specific incoming fax numbers and then auto-forward a copy to the appropriate staff - if you have specific customer/vendor fax numbers that you know you want always forwarded to someone.
