How do I set a different voicemail greeting depending on the day and time a call is received? I want it to play a different greeting that provides an emergency phone number if the call comes in after regular business hours.

 

you most likely need to use custom rules. Can give you a detailed answer if you provide the following info:
1. are you talking about a user extension, an IVR menu or a call queue?
2. What’s the call handling during working hours (i.e. probably call rings, if not answered to voicemail)
3. What’s the call handling after hours (this could be going directly to voicemail, or it could again ring, and if not answered - to voicemail)


Right now, a call comes in and, if not answered, a message plays and it goes to voicemail.  There is no differentiation for work hours or after hours.  I would like to have it play a different message after hours and then go to voicemail.  I hope this answers your questions!!  MANY thanks!


step-by-step for User extensions

Users > click on a given user > User details > Settings & Permissions > Edit Schedule > select Specific schedule instead of 24x7

While you are looking at User details for this user > scroll down to Phone > Incoming call rules > you’ll see a section for working hours and after hours > click on after hours

 

3. Click on send to voicemail and change it to Ring devices

step-by-step for call queues
1. Phone System > Groups > Call queues > click on a call queue > Call queue details >  Settings > Schedule > WE ARE NOT GOING TO TOUCH THE SCHEDULE ON THE QUEUE! > Leave it 24x7

2. while looking at the call queue scroll down and click on Call handling and members > Custom rules > Add rule

you don’t need to apply this both to users and call queues. Normally you’d apply this to one or the other depending on which is being dialed.

It is possible to have different greetings for each day of the week for an announcement-only mailbox, but it requires using RingCentral's Multi-Level IVR feature. An Announcement-Only Extension itself only holds one greeting.

Here's the direct approach:

  1. Create Multiple Announcement-Only Extensions:

    • For each daily greeting you need (e.g., "Monday Announcement," "Tuesday Announcement").

    • Admin Portal > Phone System > Groups > Announcement-Only Extensions > New Announcement-Only Extension.

    • Upload the specific greeting for that day to each respective extension.

  2. Set up a Multi-Level IVR:

    • This is where the time-based routing happens.

    • Admin Portal > Phone System > Auto-Receptionist > IVR Menus > New IVR Menu (or use the Visual IVR Editor if available).

    • In the IVR settings, you'll configure "Key Press Assignments" or "Call Handling" rules based on Date and/or Time (Weekly Schedule).

    • For each day (e.g., Monday, Tuesday), set a rule that directs calls to the specific Announcement-Only Extension you created for that day.

In short: You create an Announcement-Only Extension for each daily greeting, then use a Multi-Level IVR to direct callers to the correct Announcement-Only Extension based on the day of the week.

This feature is typically available on RingCentral plans that include advanced call routing and IVR capabilities.

Thx I will try this but it seems like the user will need to login to several different mailboxes to do this. The user is very difficult to work with and I don't feel they will accept this as a solution. They want it to be in the 1 and only mailbox. I will try and see what the say.

You're right, having multiple mailboxes for daily greetings can definitely be a tough sell, especially for a user who wants things streamlined!
