Extension Passwords

I am Super Admin and need to access voicemails from my other phone lines assigned to staff or rooms in my shop. I can’t access them because it’s asking for extension password. I didn’t set this system up. We purchased an existing business, and the info was just kinda transferred over.

As a Super Admin, you have the authority to manage every extension on the account, but RingCentral’s security protocols still require a "handshake" (a password or co-recipient permission) to view the actual content of private messages like voicemails.

Since you are taking over an existing business and don't have the old passwords, here is the most efficient way to gain access and set yourself up for the future.

1. Reset the Extension PIN (The "Quick Fix")

If you need to get into a specific mailbox right now, you can reset that extension's PIN. This will allow you to log in as them or check the messages via phone without needing the previous owner's info.

  • Log in to the Admin Portal.

  • Go to Users > User List > Users with Extensions.

  • Click the Name of the staff member or room extension.

  • Go to User Details > Security tab.

  • Under PIN, click Change.

  • Enter your admin password to verify, then set a new PIN for that extension.

  • Note: This will notify the user via email that their PIN has changed.

2. Set Yourself as a Co-Recipient (The "Professional Way")

To avoid resetting passwords every time, you can add yourself as a "Co-Recipient." This allows their voicemails to show up directly in your own RingCentral App under a "Shared Folders" or "Shared Voicemail" section.

  • In the Admin Portal, go to Users > User List.

  • Select the extension you want to monitor.

  • Click Phone on the left menu, then select Voicemail.

  • Look for Shared Voicemail and click Add Recipients.

  • Search for your own name/extension and click Share.

  • Result: Their voicemails will now appear in your RingCentral App/Portal without you ever needing their password.

3. Enable Email Attachments (The "Management Way")

If you just want to keep a record of what's coming in across the shop, you can set the system to email you a copy of every voicemail as an .mp3 file.

  • In the user's extension settings, go to Notifications > Messaging.

  • Under Voicemail Messages, check the box for By Email.

  • Enter your email address and ensure Include attachment with email is checked.
