AI notes disappearing and not syncing into Bullhorn

I have a few users that have mentioned that the AI note (Smart note) disappears before they are able to save it and when they check the calls section it isn’t there. I have checked in the RingSense portal and all the information is there, but this is something we haven’t rolled out to everyone, and even when we do I don’t want to have people have to go there to retrieve notes.

 

I have a user that says when he presses enter or shift+enter when logging a manual note, it will call the last person in his call log. Is there something that can be done on his end to avoid this while adding spacing to manual logs?

 

I brought this up this next point in the past, but wondering if there was any movement on it. In Bullhorn we are able to ”@”someone to tag them in a note and this will alert them to check out the communication. Is this something that can be added into the RingCentral App Connect extension?

Hmmm. The AI note should eventually appear in Bullhorn - so I am worried there could be a bug somewhere. When calls are logged we fetch the AI notes independently from the client that displays them. So even if there is an issue related to a note “disappearing” in the UI, when the call is logged, it should fetch the notes and save them. But let me flag this for the team - perhaps there is a race condition that is causing them to be dropped or overwritten accidentally.

Honestly, we have not researched this too much. There is nothing in the API documentation about the creation of mentions like this, so I am not sure if it is supported. One thing that will be really challenging to support is any kind of auto-complete, meaning you type “@” and then one can select who they want to mention. But assuming one composes a valid @mention that automatically links to a person - that is something we could support if Bullhorn’s API permits it. We will reach out to Bullhorn to ask.

Hi ​@JKrupski For AI notes missing issue, can you provide more detail steps to get the issue? It can help us to reproduce it in our side.

Currently if user receive a second call before first call is ended, the first call’s smart note page will be replaced by second call. User can get first call’s smart note after first call unholded.

And can you let the user to check if there are smart notes icon in call history? If there are smart notes icon, when user edits log, smart note will be saved to CRM again.

This is the response that I got from my recruiter:

“No it was just the first time of the day I tried using the AI feature. That’s all I can think of. Couldn't even look at the AI note while I was typing my notes it just looked like it was loading and then nothing popped up”

I asked him to confirm if the note was in the calls sections or in Bullhorn and he told me that he couldn’t find them in either area and that was this morning which is a full day after the above happened.

 

@ByrneReese Thank you for your response! For the mentions in call logs, I totally understand how that would be difficult to add the auto-complete into the call logs or maybe not even possible depending on Bullhorn’s API. Our previous phone provider had a system where the Bullhorn notes would populate when making a call inside of Bullhorn instead of doing everything through their extension. There are definitely pros and cons to both options and I’m sure the AI aspect adds an entire new layer of headaches while developing new features haha. I would be more than happy to hop on a call to explain further and explore options, let me know if we can set a time to chat more.
