How to use shared email for sending & receiving FAX. (all user should access same shared email through SSO)


The exact plan is to create shared email and assign a number to it in ring central admin portal, the same email can be used with all users for sending & receiving fax.. User can access shared email through SSO. please suggest if can implement something like that.

probably several ways to do it. My gut instinct is to do the following:

Create a free user extension for fax, for example extension 89022
Phone System > Phone numbers > All numbers > click on the company fax number > assign to extension > select ext.89022

Users > click on 89022> Notifications > Messaging notifications > Advanced settings > Customize >check the box for “Include attachment with email” - this will make it so you receive a .pdf attachment in the email notification for fax.

Double check also the Outbound calls/faxes section > Fax settings
Double check More > Account settings > General settings > Fax settings and Email-to-fax should be toggled on

Thanks, but this i can’t implement as this will require a global change. We need this for only one site and we need SSO ON as well. So can you suggest of something with use of Call queue in which users can login using SSO. Below is the exact want received from team.

“I have a new team members that will require access to sending faxes, though she will not need a phone number to make inbound or outbound calls. Is this a possibility with RingCentral?

Also, she does utilize a shared mailbox for our team, If it's possible, access to receive and send faxes from that shared mailbox .”

Note:- User access Ring Central using SSO

at one point you say “users”. Then you say “user” and “she”.
Is it a single user that needs to SEND faxes from the shared mailbox?

I think what I suggested earlier is okay, but instead of having the company fax go to that new team member - take a random additional number and assign it to her user extension.

note: additional number is different to a RingEX license. 

The entire setup would look like this:

  • create a VideoPro user for the new team member (free user, not able to make phone calls)
  • have an additional number assigned to that user used to receive faxes
  • received faxes will be visible in the app or per email notification
  • sending faxes can be done from the app or through email-to-fax
