Shared voicemail boxes

I'd like to have some shared voicemail boxes made. My question is: If I have multiple lines feed into a shared voicemail box, will each individual line still receive their own voicemails in their voicemail boxes as well, or does that override it and they all go to that one shared voicemail box?

We have tried all methods to enable this and do not have an option to share any of our calls. Currently, during business hours, we have a company greeting with options to go to one of 3 group boxes or they can dial extensions. We would like all team members to be able to access the voicemails for these group boxes but still have them routed so that specific people are first in line to answer them. Is this an option? Can we have shared voicemail for groups or only people? Can we have the company greeting route to these groups AND have shared voicemail?

Is there a way to be able to share your voicemail to more than 5 users?  We have a team of 13 that we want everyone to share their voicemail all the time, for coverage purposes but we are limited to 5 for each extension/user.

Is there a way to be able to share your voicemail to more than 5 users?  We have a team of 13 that we want everyone to share their voicemail all the time, for coverage purposes but we are limited to 5 for each extension/user.

You can’t increase that limit on a single extension, but there’s a simple workaround that will let all 13 people on your team receive the voicemails.

📬 Email Notification Workaround (Most Practical)

This is the easiest and most reliable option for larger teams.

How it works:
Instead of using the in-app shared voicemail feature, you set the extension to email each voicemail (including the audio file and transcript) to an email distribution list that contains all 13 team members.

What to do:

  • Ask IT to create a group email (e.g., voicemail-team@company.com) with all team members included.

  • Go to the voicemail settings of the extension and change the notification option to send the voicemail as an attachment.

  • Enter the group email address.

Pros:

  • No limit on how many recipients can get the voicemail

  • Everyone receives it immediately

  • Easy to track and search via email

Cons:

  • Opening the email won’t mark the voicemail as “read” in the phone system

  • You may need IT to set up the distribution list
