We have several message only extensions used for departments’ general voicemail only.  They are currently configured to email a distribution group with the recording attached.  Since the managers are receiving emails from multiple message only extensions it would be helpful to identify the mailbox in the subject line if the email.  Is this a possibility?

 

My end goal is to have multiple managers monitor multiple mailboxes as efficiently as possible.  If there is a better way to approach this please share your opinions.

You should look into “email plus addressing”. 
I am going to give an example.

Let’s say you have 2 message only ext, both of which send voicemail notifications to the same email address.

1. After Hours Voicemail
Email: distributiongroup@email.com

2. Missed calls voicemail
Email: distributiongroup@email.com

Above is your current situation which isn’t working for you. Below is the same scenario but with Email plus addressing:


1. After Hours Voicemail
Email: distributiongroup+afterHoursVM@email.com

2. Missed calls voicemail
Email: distributiongroup+workingHoursVM@email.com


email notifications will still be sent to distributiongroup@email.com, but you’ll be able to tell if they came from Message only ext 1 or 2 by the way they are addressed.  

You can put whatever you want between the + and the @. It is what your managers will be using to tell where the voicemail came from

@Problem Solver Thank you for taking the time to respond.  will the name of the distribution group show in the “From” line as opposed to noreply@ringcentral.com or will it show in the subject line?

Imagine that Sandy is actually noreply@ringcentral.com
and iloveapps456 is your distribution groups. Your distribution group received a voicemail notification but you know it came through the “+newsletters” message-only ext. because it is addressed to iloveapps456+newsletters@gmail.com




I suggest you test it out yourself. - you can use plus addressing  on 1 of the message only ext. and then leave yourself a voicemail to see how it renders it.

Btw - important to change the email address in the voicemail & notificationssettings > edit notifications.
It won’t work if you only change the email address in the “Message-only extension details” tab
