call forwarding

We have a separate phone number for a different part of our office that we don’t have staff for at the moment.  I would like to forward that number to our main number, so we can all answer the calls and schedule patients.  I wasn’t sure how to do this?  We are using the ring central desktop phones, if that helps

That is totally doable, and doing it through the Admin Portal only takes a couple of minutes.

Since you are using RingCentral desktop desk phones, the cleanest way to set this up depends on how you want those forwarded calls to behave when they hit your main line:

Option 1: Forward the Entire Number to your Main Line (Recommended)

This points that unused phone number directly to your main office number so it follows your usual ring rules, auto-receptionist, or call queue setup.

  1. Log into your RingCentral Admin Portal.

  2. Go to Phone System > Phone Numbers > All Numbers.

  3. Find and click on the unused phone number.

  4. Next to Routed To, click Edit.

  5. Select Auto-Receptionist or Call Queue (whichever your Main Number currently goes to) and hit Save.

Option 2: Forward from the Unused User's Extension

If that number is currently assigned to an actual user extension (e.g., "Front Desk 2"):

  1. In the Admin Portal, go to Users > Users with Extensions.

  2. Click on the user extension associated with that unused number.

  3. Click on Call Handling & Forwarding.

  4. Under User Hours, set the Always Forward option to On.

  5. Choose Forwarding Number, type in your Main Phone Number, and click Save.

Tip: If you want your team to know when a call is coming from that secondary office before they answer, you can go to Call Handling & Forwarding > Settings > Incoming Call Information and set the Called Number to display on your desk phone screens!
