How to assign a former employees account to a new employee

I have a new team member joining my team. I want to reassign a previous employees line to the new team member so the new team member can use the same number, extension and setting of the previous employee. What are the steps to do this?

Hi,

You may try this method below:

  • Log in to the RingCentral Admin Portal.

  • Navigate to the Users tab and select User List > Users with Extensions.
  • Locate the previous employee in the list and click on their name.
  • Click on User Details in the left-hand menu.
  • Scroll down to the bottom of the page and click the Copy and Assign button.
  • Select Use assigned extension and click Next.

     

    • Note: This ensures the new person takes over the exact same extension and phone number.

  • Select the extension you want to reassign (the previous employee's) and click Next.
  • Select Settings to Copy: Check the boxes for the settings you want to keep (e.g., Notifications, Call Handling, etc.) and click Next.
  • Enter New User Info:

    • Input the First Name, Last Name, and the New Email Address of the joining team member.

    • Set the Assigned Role (e.g., Standard User).
  • Set Setup Option: Choose how you want the new user to activate (e.g., Send invite to send them a welcome email immediately).
  • Click Submit or Copy and Assign to finalize.
