Inactive User's Recordings

How do I access recordings from inactive users?

As an administrator, you can pull recordings for any user directly from the account-wide Call Log without needing to change the user's status.

  1. Log into your RingCentral Admin Portal.

  2. Go to Analytics (or Reports) > Call Log.

  3. Use the search filters at the top to adjust the Date/Time range to when the calls took place.

  4. Filter by the specific Extension or phone number of the inactive user.

  5. Once the logs load, click the blue Play/Speaker button next to any call record to listen to or download the recording.

Option 2: Temporarily Re-enable the Extension

If you need to log directly into that specific user's portal to download their personal voicemail recordings or specific call logs, you can temporarily flip their status back on.

  1. In the Admin Portal, go to Users > User List > Users with Extensions.

  2. Find the disabled user (marked with a red status icon).

  3. Click the More (three dots) icon next to their name and select Enable.

  4. Log in as that user to download what you need, and then remember to disable the extension again once you're finished to keep it secure.

Hi ​@BryanP, do you mean disabled extensions?

Yes, whenever an employees employment is terminated we can no longer access their recordings. I’m not sure if that is due to the extension or the user being deactivated.
