After setting system up, can I change extension numbers to everyone?

Yes, absolutely! You can change extension numbers for your users at any time after setting up your system.

Here is how you can update them individually or all at once:

1.Log into the Admin Portal: Admin view.

Sign in to your RingCentral Admin Portal as an administrator.

2.Go to Users with Extensions: Locate user.

Navigate to Users > User List > Users with Extensions.

3.Edit Extension Number: Update field.

Click on the user whose extension you want to change. Under User Details, edit the number in the Extension Number box.

4.Save your settings: Save changes.

Click Save at the bottom. The system will update their extension instantly across the entire network.

 

Pro-Tips & Things to Keep in Mind:

  • Bulk Changes (Save Time): If you need to renumber your entire company (for instance, changing from 3-digit extensions like 101 to 4-digit extensions like 1001), you don't have to do it one by one! Go to Users > User List > Users with Extensions, click the More icon (three dots) or Export, edit the extensions in a spreadsheet, and re-upload/import it.

  • No Conflicts: The system won't let you assign an extension number that is already taken by another user, call queue, IVR menu, or paging group. If you're swapping numbers between two people, temporarily assign one person a dummy extension number first to free up their target number!

  • User Login Unaffected: Changing a user's extension number won't change their login email address or password, but their local desk phone will briefly reboot to pull the new extension assignment.
