Unable to disable a user/phone number

I have an employee that has left the company and I would like to disable their user information (phone number and extension) and replace it with our new employee.  However, when I select the 3 dots under user I receive the following message and are unable to navigate the next steps.

This extension is a destination route for the following IVR menu and cannot be disabled.

    This error occurs because the extension is actively assigned as a destination key or routing rule in your Auto-Receptionist / IVR Menu. RingCentral prevents disabling or deleting extensions tied to active call flows to prevent callers from hitting a dead end.

    Here is how to safely disconnect the extension from your IVR menu so you can update or reassign it:

    Step 1: Remove the Extension from the IVR Menu

    1. Log into the RingCentral Admin Portal.

    2. Go to Phone System > Auto-Receptionist > IVR Menus.

    3. Click on the IVR Menu named in the warning message (or check your main Auto-Receptionist settings).

    4. Click Keypress Assignments.

    5. Locate the button/option assigned to the former employee’s extension (e.g., Press 2 for Sales or direct extension routing) and either:

      • Reassign that keypress to a different user, call queue, or placeholder extension.

      • Delete the keypress assignment.

    6. Click Save.

    Step 2: Reassign the Extension to the New Employee

    Once the IVR dependency is removed, you do not need to disable or buy a new extension. You can reassign the existing license, phone number, and extension directly to the new employee:

    1. Go to Users > User List > Users with Extensions.

    2. Click the former employee's name (or the 3 dots icon next to their name).

    3. Select Edit User Info.

    4. Update the First Name, Last Name, and Email Address to the new employee’s details.

    5. Click Save.

    6. Select Reset Password (or send a new welcome activation email) so the new employee can set up their login credentials.

    Step 3: Clear Out Old Voicemails & Custom Rules

    Before handing the extension over to the new team member, clean up the previous user's profile:

    • Go to the extension's Messages & Notifications tab to clear old voicemails.

    • Go to Call Handling & Forwarding to remove any personal forwarding rules or custom greetings left by the previous employee.
