The best practice is to first unassign the phone from the old user before you assign it to the new one. This ensures a clean and smooth transition. All of these changes can be easily managed from the RingCentral Admin Portal.
This frees up the device so it can be assigned to someone else.
Log in to the RingCentral Admin Portal as an administrator.
Go to Users > User List > Users With Extensions.
Select the user who is currently assigned to the phone you want to move.
Go to the Devices & Numbers tab.
Find the phone device you want to unassign, click the three-dot menu next to it, and select "Unassign."
Confirm the action. The phone will now appear in your list of unassigned devices.
You'll do this to connect the physical phone to the correct user and their extension.
Log in to the RingCentral Admin Portal as an administrator.
Go to Users > User List > Users With Extensions.
Select the new user you want to assign a phone to.
Go to the Devices & Numbers tab.
Click on "Add Device" or "Assign." From there, you can choose the unassigned phone you just freed up.
Follow the prompts to complete the assignment. The phone will then be tied to that user's extension and location.
To change an Extension Number: Go to the user's User Details page in the Admin Portal. Click the pencil icon next to the Extension Number to edit it.
To change a User's Location (for Multi-Site Accounts): Go to Phone System > Locations. Select the location, and from the Users tab, you can click the three-dot menu next to a user's name to move them.
