Don’t Let Spam Calls Haunt Your Phone System! 👻🎃
Spam calls and “scam likely” labels can be downright scary, but you don’t need to worry.
Whether spooky unknown numbers are creeping into your inbox or your own legitimate outbound calls are getting falsely tagged as a "fright," taking control of your phone settings doesn't have to be a nightmare.
Telecom carriers control spam labels, meaning no single provider can grant a universal whitelist. However, RingCentral equips you with the best practices to keep spam ghosts away. Please note that while these steps help lower your risk, they do not guarantee that unwanted calls will be blocked or that outgoing calls will avoid spam labels.
Here is your guide to banishing spam ghosts and keeping your business communications clear this Halloween season!
1. Managing Spam Filtering for Incoming Calls
Administrators can configure how incoming calls are identified and handled as suspected spam directly in the Admin Portal: Managing spam detection and filtering in the Admin Portal
- Account-Level Sensitivity Setting: Review and adjust this setting to determine which risk categories are identified as spam.
- User-Reporting Threshold: Configure the reporting threshold for your account. When spam reports from users within your organization reach this threshold, the number is classified as spam organization-wide.
- Spam Handling Options: Choose how to handle flagged spam calls:
- Let it ring
- Block and play announcements
- Send to voicemail
2. Reducing The Risk of Outgoing Calls Being Labeled as Spam
Carriers score outgoing numbers based on dialing patterns, consent, and identity signals. Follow these best practices to lower the chance of carriers flagging calls as spam, scam, or fraud:
Verification & Registration
- Set up Caller ID Name (CNAM): Make sure CNAM is set up correctly in the Admin Portal for all company phone numbers.
- Register business numbers with Free Caller Registry: Submit your business numbers to participating call-protection providers through this free, centralized process. (Note: Registration does not guarantee removal of spam labels and does not set Caller ID Name (CNAM). Customers should complete registration themselves).
- Number Reputation Service (Open Beta): RingCentral launched a paid open beta for this optional add-on, which monitors phone numbers and remediates incorrect spam/fraud labels across major carriers. Because specific eligibility requirements apply (such as an active RingEX contract and term length), please contact your Account Executive or Customer Success Manager for details and application steps.
Responsible Dialing Practices
- Redial limitations: Limit redials to two to three times per week, spaced four hours or more apart. Do not call the same phone number more than a few times a day.
- Number cooldown periods: Let numbers sit idle between maximum dialing attempts, and give recycled numbers a minimum of six months of downtime before reusing them.
- Traffic distribution & Local presence: Spread call traffic across multiple numbers instead of concentrating volume on one. Use local numbers for the region, state, or area code you are calling.
- Call intent separation: Don't mix call intents on one number (for example, sales and support calls from the same phone number).
- Voicemail practices: Leave voicemails that request a callback instead of redialing the same number, and match the voicemail identity to your displayed caller name.
- DNC and TCPA compliance: Honor Do Not Call (DNC) lists and Telephone Consumer Protection Act (TCPA) consent requirements. Don't make outbound marketing calls to phone numbers on the federal Do Not Call Registry.
- Abandonment and drop rates: Keep abandonment rates under 2% on auto-dialers, and maintain a drop rate below 3% overall. Don't hang up on people you have reached.
- Calling hours: Avoid making phone calls outside of respectful business hours.
Ongoing Practices
Carrier algorithms that determine spam labels change over time. Review dialing and consent practices periodically rather than treating this setup as a one-time process.
