RingCentral AI

Hello, I've heard that the Ring Central AI can help with the answering of calls, etc.  Our business is pretty simple and our Auto Receptionist handles and routes a good percentage of our calls.  We have a Call Queue setup as well, but sometimes we don’t have enough staff to actually answer the call if it gets to our Human Receptionist.

How can AI help with these calls?  What is AI doing that the Auto Receptionist cannot do?  thanks

Here’s a quick run down!

Think of the Auto Receptionist as a digital signpost and the AI Receptionist as a digital team member.

While your current system is great at pointing people in the right direction (Press 1, Press 2), it can't actually "talk" to them. Here is how AI fills the gap when your staff is busy:

1. It answers questions so your phone doesn't ring

Old way: Customer calls to ask about your Saturday hours or parking. Your staff has to stop what they are doing to answer.

AI way: The AI answers those questions directly. The call is resolved without ever needing a human.

2. It understands plain English

Old way: Callers get frustrated navigating "Press 1 for this, Press 2 for that."

AI way: The caller just says, "I'm calling to see if my order is ready." The AI understands the intent and sends them to the right place immediately.

3. It handles your busy times perfectly

AI way: The AI can talk to all five people at the same time. It greets everyone instantly, meaning no one is left waiting on hold.

4. It gives your team a heads up

When the AI finally does pass a call to your staff, it doesn't just ring the phone. It sends a short text summary to your screen: "This is John calling about a refund." Your team knows exactly what to say before they even pick up. (Customers love not having to explain themselves more than once!)

How it learns

You record a script

It learns from your website and uploads from PDFs, FAQs, etc.

The AI acts as your filter. It handles the easy, repetitive questions (about 60% of most business calls), so the only calls your human receptionist has to handle are the ones that actually need a person’s touch.
