Here's the essential step:

  1. As a RingCentral Administrator, log in to the RingCentral online account.

  2. Navigate to Meetings > RingCentral Video > Meetings Settings.

  3. Under the "Basic" settings, locate "Annotation" and "Whiteboard."

  4. Ensure both "Annotation" and "Whiteboard" are toggled ON (enabled).

  5. Crucially, click the "Lock" icon next to both "Annotation" and "Whiteboard" settings.

By locking these settings, you prevent individual users from disabling them, effectively ensuring that the annotation and whiteboard tools are always available by default for everyone in meetings hosted within your RingCentral account.
